Application Process

How do I apply for a job at Duke?
All applications should be submitted using the online application process. The first step in the process is to visit the Duke Jobs website and choose from one of the three applicant gateways depending on whether you an External Candidate, a current Duke Employee or a Nursing Candidate. Once you have selected the appropriate gateway, you will want to Create a New Account to submit your application to Duke University and Health System. Once you click on Create a New Account, you will be guided through the application process and be able to search and apply for open positions.

How do I apply for a temporary position at Duke?
You can apply for a temporary position with Duke Temporary Service (DTS) by submitting your resume at the Duke Jobs web site. The online application for DTS and regular employment at Duke is the same application, however when prompted, you must check the "Temporary" box if you are interested in applying for a temporary position.

DTS accepts resumes from individuals with a wide variety of skills, education, and experiences. After you apply with DTS, Duke Temporary Service will contact you if they need additional information or would like to schedule an interview for a possible job assignment.

Do I need an email address to apply for positions at Duke?
In order to complete the online application, an email address is required. It is also useful to have an active email account for your online application as you will receive an email to confirm you have applied for a specific position and when your application is forwarded to a hiring department for consideration.

How will I know if my online application was submitted successfully?
You will receive an email confirmation once you have completed the online application process. To ensure that the information you submitted was completed accurately, you are encouraged to log back in to your account and review your information. You will also receive an email confirmation after your successfully apply for a specific position.

How can I tell if my resume is still active in the Duke system?
Resumes remain active in the Duke resume database indefinitely. However, as you attain additional work or educational experience, you are encouraged to update your application.

If I don't have a computer, how can I apply for positions at Duke?
You may visit the Duke Human Resources Information Center, located at 705 Broad Street, Monday through Friday, 8 a.m. to 5 p.m. Computers are also available at most public libraries.

What if I forget my password?
Go to the login screen and click on "Forgot your password?" You will need to enter your email address. Once submitted, an email message with the subject line "Password recovery" will be sent to the email address associated with your user profile. Please click on the link in the e-mail and follow the instructions to reset your password. You will receive an email confirmation when your password has been successfully reset.

Searching and Applying for Open Positions

How do I search for open positions?
Go to Search Openings to search for positions by Location, Type of Position, Duke Entity, Shift, Requisition Number, Keywords, or by when a job opening was posted.

You can also use the Job Match feature on this page to search for jobs that match your skills and competencies by entering text, such as your ideal job description, cover letter or resume/CV in the job match search area. Click the Search button once you have entered text and the career site will return jobs that may be well suited to you.

What happens after I submit my application for a position?
You will receive an email confirmation when you have successfully applied to an open position. Your application and qualifications will be reviewed by a recruiter for the minimum qualifications and the department's preferred skills and experience for the position. The hiring manager will review applications from the forwarded candidates and select those they are interested in contacting for an interview. The hiring manager will contact an applicant directly if they are interested in arranging an interview. Following the interviews, the hiring manager will select the most suitable candidate for the position.

Where can I find salary information for open positions?
Salary information is not provided as part of the online job postings. The hiring department can provide this information during the selection process.

How are individuals selected for interviews?
The hiring department determines which applicant they are interested in interviewing for an open position. If the hiring department is interested in interviewing an applicant for a position, they will contact the applicant directly by phone or email.

How do I apply for a faculty position?
Faculty positions are handled by the individual schools and departments seeking candidates for those positions. If you are interested in a faculty position, please visit the list of schools on the Duke website at www.duke.edu. and search for the specific school and department that is of interest to you to see if there are any available positions that may fit your qualifications and interests.

How do I know if a job at Duke is still open?
Any position that appears on the Job Postings website is still open. You may also check the status of positions you have directly applied for through the Job Submission Status section in your account. The Job Status column will provide you with the current status of positions you have applied directly for.

How long does a position remain open?
Positions are posted on the Duke Human Resources website for a minimum of 7 calendar days. Duke does not have defined closing dates for positions. A position will remain open until the position is filled.

How will I know if a position has been filled or closed?
If a position is no longer on the Duke Job website, the position has either been filled or closed. You can also review your Job Submission Status (see information below regarding this system feature) which will show when a position you have directly applied for has been filled/closed.

Who can I contact if I need an accommodation for special assistance in completing my application?

Application Status

How do I check the status of my application?
You can login to your account and click on the Job Submission Status for an update on those positions to which you have applied. The Job Status column in this feature will show you the current status of the position. The HR Status column in this feature will show your individual status within the position.

When can I expect to hear about the status of my application?
You can monitor the status of your application online through the Job Submission Status feature. If your resume is forwarded to a hiring department for consideration, you will receive an email and your Job Submission Status will be updated. The hiring department reviews the applications and if the hiring department is interested in speaking with you regarding the position, they will contact you directly. We regret that due to the volume of applicants Duke receives, we are unable to respond to each candidate individually regarding the status of their application.

What do each of the HR status descriptions mean in regards to the application process?

HR Status Description
Resume Received by HR Application was successfully submitted and candidate is entered into applicant pool for the position. Application will be reviewed for potential match between department's hiring needs and candidate's qualifications for position.
Under Recruitment Review Application is being reviewed by a recruiter for a potential match between the required qualifications, the department's hiring needs and preferences, and the candidate's qualifications for the position.
Forwarded to Hiring Manager Applicant forwarded to hiring manager for further consideration. If the hiring manager is interested in speaking with the candidate regarding the position, they will contact the candidate directly.
Hiring Manager Review Hiring manager reviewing forwarded applications and will determine which applicants to contact for interviews. Hiring manager will contact candidates directly if interested.
Candidate not under further consideration for the position Hiring manager no longer considering candidate for the open position. Decision based on department's hiring needs and preferences and candidate's qualifications for the position.
Candidate withdrew from consideration Candidate no longer interested in being considered for the position.
Offer Extended Candidate received and accepted offer for the position.

How long will the positions I applied for remain in my Job Submission Status?
A position will remain in your Job Submission Status for six months after the position is filled or closed.

Who can I talk directly to about a job I have applied for?
A recruiter or hiring manager will contact you directly if they are interested in speaking with you about a position you applied for. We regret that due to the volume of applicants Duke receives, we are unable to respond to each candidate individually regarding the status of their application.
