We are pleased to announce that the implementation of the new human resources
and payroll systems will begin July 29, 2002, for the biweekly payroll (B/W
08-2) and August 1, 2002, for the monthly payroll. This implementation will
touch every division of the University and Health System. As you know, this is a
significant milestone in our collective goal of improving administrative
systems.
This implementation was postponed from its original date in December 2001. We
were not willing to launch the new systems until the software and business
processes were tested in parallel for several pay cycles. This could not be
achieved by the December target date.
Since that time, the implementation team has conducted multiple tests of the
software. This effort included testing the new systems, forms, and business
processes by a number of University and Health System departments; their input
proved invaluable. After analyzing the results, it is clear that the new systems
and processes are ready to be implemented.
For all pay periods prior to the 08-2 biweekly period and the August monthly
period, you should continue to use the current human resources and payroll
processes and forms as you do presently:
- Continue to use the current forms,
including PCN, Employment Notice, Faculty/Staff Pay Exception, Leave of
Absence, Personal Data Change, Supplemental Payment, and Termination.
- Continue to use the current systems, such as BPA and the Human Resources
and Online Account Code Employment system (HR/AS 400).
- Continue to use the Applicant Referral module (Web-based HR tool) for
reviewing and selecting applicants. If you are not using Applicant Referral,
we recommend that you begin to use it immediately since it will become the
only way to hire biweekly and monthly employees beginning August 1.
The implementation team has developed a plan that will help ensure a smooth
transition to the new systems and processes. This will require the cooperation
of everyone involved in the human resources and payroll processes. We invite,
and strongly urge, you to attend refresher training sessions over the next two
months. In addition, there will be a significant communications effort to
explain the new design of employees' paychecks and pay vouchers.
The training schedule and registration procedures are outlined in the attached
document.
We thank you for the time and effort you have given to this important
project. With your continued support, we will continue to improve Duke's
administrative processes.
