New Paychecks and Direct Deposit Statements

Update on New Paycheck and Direct Deposit Statements

This month, Duke employees will receive newly formatted paychecks and direct deposit statements. These new statements are the most visible outcome of the SAP R/3 payroll system that was deployed on July 29. All employees will receive their first new pay statement on August 23, as both the biweekly and monthly pay dates occur on that day. They will find that their paychecks and direct deposit statements contain more detailed information and are easier to understand. The new pay statements will provide more information about gross pay, deductions, and leave time. For example, biweekly employees in the Health System will be able to see their carryover bank of Paid Time Off. The new statements will show University biweekly employees their available discretionary days. All monthly employees will see year-to-date totals for contributions to each of their 403(b) retirement vendors. None of this information is available on current pay statements.

Wage Type Mappings

Click here to view a wage type mapping document is attached. It can be used as a reference for information displayed on the new paychecks and statements. This document includes four categories of wage types: biweekly earnings, monthly earnings, benefit time, and deduction wage types. The abbreviations and descriptions can be used as a resource for employees who have questions.

Change in State Tax Calculation

As the result of a new formula used to calculate state tax withholding, all employees will see a slight difference in their net pay beginning with the August 23 pay statements. Under a recently-enacted law, state tax withholding must be rounded to the nearest dollar amount. For example, if an employee's current state withholding is $188.49, the new withholding amount will be $188.00. If the current withholding is $188.50, the new withholding amount will be $189.00. After the law was passed, employers had several months to implement this new calculation. Duke chose to incorporate the new calculations in the SAP R/3 payroll system rather than change the current payroll system. In addition, the R/3 payroll system uses a state-approved alternate calculation in determining state tax withholding. This calculation will generally result in a slight favorable change in state tax withholding for a small group of employees.
