Questions & Answers for Managers

How do I place an order?

You can request temporary staff through the job order request available through the Duke Temporary Service web site: www.hr.duke.edu/dts. Or you can call DTS at 681-3132. After you have placed an order, you will receive a call from DTS confirming your order and providing you with a timeline for filling the request.

What types of positions are filled through Duke Temporary Service?

All requests for temporary staff in the following areas should be made through Duke Temporary Service: clerical, light industrial, accounting, professional, information technology, research and clinical (non-nursing).

DTS places three types of temporary employees: regular temporaries, travelers and temp-to-regular employees. Regular temporaries are staff hired to fill short-term assignments for a defined period of time. Travelers are temporary employees in which living and travel expenses are covered by the employer. Temp-to-regular employees begin as temporary staff and are later converted to regular staff.

Are there positions that Duke Temporary Service does not cover?

Consultants or independent contractors coordinated through Procurement and existing nursing contracts will continue to be managed under other contractual arrangements.

Who do I call if I have questions?

Please call DTS at 681-3132 with issues concerning temporary staffing. DTS has management accountability for the program regardless of who fills the temporary order. At the end of each assignment, DTS will be asking for your feedback on the temporary employee, the process and our service.

How will I know who will fill my temporary request?

The ordering process will be seamless to you. Once you place your order through DTS, we make the calls and coordinate the process of finding the most qualified candidate and filling the order. If DTS fills the order, a DTS representative will be the ongoing contact for you and the temporary employee. If Kelly or a secondary supplier fills the order, then a Kelly representative will be the ongoing contact for you and the temporary employee. Regardless of whether DTS or Kelly Services fills your order, please call DTS at 681-3132 with any issues concerning temporary staffing.

Will I be able to interview candidates first?

Yes, if you prefer. On the temporary order request, we will ask if you want to see resumes first and/or interview candidates. However, DTS will handle this process and send you the best-qualified candidate who meets your department's needs if you need temporary help immediately.

Will my temporary have pre-employment checks and have completed orientation?

Yes. All will have completed an orientation to Duke and will have been issued an ID badge. DTS orientation covers employment guidelines, review of the compliance program, an overview of benefits, timecard procedures, and safety guidelines and training support. You will want to provide department-specific orientation when your temporary arrives on the first day. All temporaries will have criminal background checks and Medicare fraud and abuse and government sanctions. Depending on the position, some temporaries will have DMV checks, etc. Depending on the type of position and location, temporaries will be JCAHO and OSHA-compliant. For licensed or certified personnel, verification will be determined before placement on an assignment. Drug tests will be conducted on employees working at DUHS or in the Duke Police Department.

What are DTS's hours of operation?

The hours of operation for DTS are Monday through Friday, 8 a.m. to 5 p.m.

Can I place an order directly with an outside temporary staffing vendor?

No. All requests for temporary staff (except nursing) should be made through Duke Temporary Service. Duke has contracted with a select group of suppliers to help provide temporary staff for the broad and diverse needs across the organization. You will need to place your order through DTS to receive the discounted rates offered by these suppliers. By leveraging the volume of temporary staffing across Duke, DTS expects to reduce department costs for temporary staffing by more than $2 million annually.
