 How do I register for a workshop?

Please register by completing a written request - this is our authorization to enroll you in a workshop and to process workshop fees where applicable. We do not register participants by telephone. You may register by any of the following methods:

  • online — our web site is live and shows number of available seats in real time
  • printable registration form
  • telephone 613-7600 or 613-7613 and request that we fax a blank form to you

If you are registering for a workshop happening the very next day, please call to alert us. This way we can make certain that instructors have the most current roster, and any class materials used are ready for you. Materials that require advance ordering may not be available; we may need to send them to you afterwards.

To register with payment by cash or check, we request registration in-person.

When I registered using your live form, the department and contact information that appeared was out of date. But my HR records were updated long ago - why is this old information showing up again?

Our database is completely independent of and separate from the HR database that contains your private Benefits information, Social Security Number, and so on. Our database tracks only your workshop history and reflects information provided at your most recent workshop registration. If you haven't taken a workshop with us in a while, and your contact information has changed in the meantime, that is why the information that appeared was out of date.

How many workshops may I sign up for?

We set no limit on the number of workshops an employee may register for. However, if your department is providing time off or payment for the workshops you are taking, then it is up to your department's continuing education/ staff training policy and your department management how many workshops you may attend. Each department has its own budget and policies; there is no one policy that applies across all Duke entities. Please check with your supervisor. Please see additional information about payment.

If you are using your own personal time off to attend workshops, and paying for them with your own funds, then you may register for as many workshops as you like.

What is the latest I can register for a workshop?

It is best to sign up for workshops as soon as possible to guarantee yourself a seat. Remember— you can always cancel your registration with no charge provided you notify us at least one week before your workshop. The longer you wait to register, the greater the chance that all available seats in a popular workshop will already be taken. When a desired session is full, you may put yourself on a waitlist and/or register for a later session.

The opposite risk is that if there is unexpectedly low enrollment, we may have to cancel a workshop. This decision is usually made one week before a workshop, so we recommend registering at least one week in advance. Just one or two enrollments can make the difference.

Please call to alert us if you register the day before a workshop so that we can make certain that instructors have the most current roster, and any class materials used are ready for you (613-7600 or 613-7613). Materials that require advance ordering may not be available; we may need to send them to you afterwards.

Currently available seats are noted in real time at our web site; just surf to the workshop you are interested in to see how many openings there are. I see that the workshop I want is full - should I bother to get onto the waitlist?

We strongly recommend signing up on our waitlists for three reasons.

  1. If a seat opens up in a workshop that was full, we hold that seat and contact the first person on the waitlist to see if he/she is still available to attend.
  2. When there are several people on a waitlist, we check instructor and room availability to try to add a new session of the workshop to our schedule.
  3. When customers sign up on waitlists, we are better able to gauge workshop demand and plan for future semesters.

You are not obligated to attend a workshop if a seat opens up. We understand that you may have made other commitments in the meantime. We do recommend that you register using a department cost center number instead of a procurement card so that no charges are processed unless you actually get into the workshop.

I don't have department approval for a workshop yet. Would you please pencil me into a workshop to save me a seat?

We can only reserve a seat for participants who have completed a registration form, including payment information, and submitted it to us. Two problems arise when holding seats pending department approval:

  1. a significant amount of extra time is required to manage these reservations and check back at intervals with the participants, and
  2. if approvals are still pending and then not granted in the last few days before a workshop, other employees who may be on a waitlist may be excluded unnecessarily from the workshop.

For these reasons we only register participants who have already obtained approvals and provided payment information.

How do I cancel my registration or reschedule my workshop?

Please put your request in writing and email it to hr-lod-registration@duke.edu no later than 5:00 p.m. one week before the workshop date to avoid charges. You may also use the online cancellation/rescheduling form. For more information, please see our Registration Policies.

I have missed the one week cancellation/rescheduling deadline, but I just found out about a meeting I am supposed to attend [or] coverage/work demands require that I stay at the office. May I reschedule my workshop?

You may reschedule, however you will be charged for the missed workshop as well as for the rescheduled session. We recognize that managing deadlines, schedules and coverage across all Duke entities is an ongoing challenge. However when staff are scheduled to be away at a workshop, we expect departments to plan for that absence and make necessary arrangements for coverage and workload.

Waiving fees when participants don't cancel by the deadline or don't show up would effectively create an optional attendance policy. When attendance is optional, attendance rates drop significantly. Managing increased cancellations and "no-shows" would require additional administrative support and cost Duke in wasted resources. Also, any staff waitlisted for a workshop would have been needlessly excluded from a learning opportunity.

I am an employee at Duke. Can my spouse/ partner/ child register for one of your workshops?  [or]   I am not employed by or connected to Duke in any way. Can I register for one of your workshops?

In some cases yes, however our first priority is to provide learning and development opportunities for Duke employees. Persons not employed by Duke may enroll in some workshops at Learning & Organization Development, but they will be on second-tier status. If a workshop fills up, and there is a Duke employee on the wait list, we will need to cancel the registration of any non-Duke person in order to make room for the Duke employee. This can happen right up to the day before a workshop. Of course, related workshop fees would be cancelled and refunded in full.

Please note - Notary Public workshops are only available to employees, even if there are openings in the workshop.  (This is to comply with Duke's not-for-profit status, since we contract with an external vendor on a per-person basis for this workshop.)  Many management workshops are also restricted to employees only, due to Duke-specific topics and discussions.  Likewise, some work skills workshops can be restricted for the same reason.  Please call us first at 613-7600 or 613-7613 before registering for workshops in these categories.  Computer workshops at L&OD are generally open to all, and you do not need to call us first.

Persons not employed by Duke do not have an employee ID number (required for online registration) and therefore must register in person and pay with a check or cash (exact amount only - no cash is kept on hand). On the printable registration form:

  • leave the "Duke Unique ID" field blank
  • after "Department," write "NON-DUKE"
  • list the email address you use most frequently, either work or home, and a daytime phone number
  • If you do not have email or a fax number, write your work or home address on the form, and we will mail a confirmation to you

FEES & PAYMENT

Why do you charge fees for workshops that help employees add to their skills or improve their performance? How can I pay for these workshops?

Some organizations offer internal workshops at no charge. Other organizations use a fee-based model.

From an employee development perspective, charging fees imparts a real dollar value to workshops and to the time and effort that employees invest in learning. This encourages attendance, participation, and active learning. From an administrative perspective, offering all workshops at no charge would result in a large increase in registrations for trainings not necessarily aligned with employees' development plans. This increase would require additional instructors and administrative support, space, equipment, and supplies. From a management perspective, workshop fees encourage supervisors and staff to partner together in order to prioritize and plan professional development. Therefore, to manage Duke resources more efficiently, the fee-based model is used here at L&OD.

L&OD is not a "for-profit" center. Our pricing recovers only a small portion of the costs involved in presenting workshops and is very competitive in the marketplace. Customer evaluations consistently rate our instructors and workshops very highly.

Some payment options follow:

  • Department funds:
    DUHS and University departments cover workshop fees for more than 95% of our registrations. Please check with your supervisor and ask about your department's training and development policy—there is no one policy that applies across all Duke entities. For department funds to cover a workshop, the training must usually be consistent with the employee's development plan. Payments can be made by SAP R/3 cost center, Internal Request and Invoice (IRI) form, or procurement card (online only).
  • Personal funds:
    If other funding is not available, or if an employee prefers to enroll in a workshop without his or her department's involvement, we also accept cash (exact amount), personal checks, Mastercard and Visa.

    For payments by cash or check, we request registration in person. In compliance with security guidelines, payments by Mastercard and Visa can only be completed through the online registration process.

    If you register online, you will be prompted for your manager's name and email. But again, if you prefer to take a workshop on your own without department involvement, simply type "blank" for your manager's first and last names, and in the "manager's email" field, enter your own email address a second time.
  • Employee Development Initiative (EDI):

Why are charge card payments for workshops processed immediately—even when workshops are months away—but payments by cost object number aren't processed until after workshops are held?

We use the DukePay credit processing system to comply with Duke Financial Services guidelines.  DukePay applies credit card and procurement card charges immediately. This ensures the highest possible security by eliminating the need to store sensitive charge card information locally for use at a later date. Actually, no other human eyes at Duke see this information at all, except in case of a refund or an audit. The charge card information is only retained in the banking/financial system where the payment was processed. NOTE - All electronic and paper charge card records from years prior to implementing the DukePay system have been destroyed.

There are three disadvantages to this instant fee processing:

  1. When customers cancel or reschedule workshops, and we refund fees accordingly, the additional transactions require additional tracking and reconciliation.
  2. If you sign onto a waitlist using a procurement card, you are charged the workshop fee immediately - even though you don't have a seat. (Please see the next question for more information.)
  3. If a personal charge card was used, interest starts accumulating from the transaction date according to the cardholder agreement.

We regret these inconveniences, however credit card security concerns have priority, and our use of the DukePay system is mandatory.

As a courtesy to customers, we are glad to accept payments made by Duke procurement cards. However, please note that internal use of procurement cards is contrary to Financial Services guidelines. All transactions within Duke can be accomplished using cost center numbers, and no transaction fees are assessed or paid to external vendors. Note that when a procurement card is used, Visa charges fees on these transactions, and this money leaves Duke. If your department has a procurement card, then your department also has a cost center number. Please check with your supervisor or department business office, and use a cost center whenever possible.

There are almost no security concerns with cost center numbers, so we can handle these transactions in a way that both reduces workload, and is more convenient for customers. When requests to cancel/ reschedule are made prior to a workshop, we can adjust fee amounts if necessary without having to actually process refunds or additional charges.  The fees themselves are processed only after the workshop is held.

Why do you request payment information if I just want to get on a waitlist? And if I use a charge card to get on a waitlist, why am I billed for the class when I don't even have a seat yet? What happens to that money if I don't get into the workshop?

We do require payment information in advance, and charge card information is processed in the DukePay system immediately for security reasons. If you choose to get on a waitlist using a charge card, the fee is therefore billed instantly. If no seats open up, this fee is refunded in full after the workshop is held. Please see detailed explanations below.

Advance payment information:
People on waitlists for workshops may be contacted anytime right up to the day before the workshop. When time is short, we need to determine as quickly as possible who is able to fill the empty seat. By requiring payment information in advance, we know that departmental permissions have already been granted. The only remaining factor is whether or not the customer is still available, which we determine when we call to offer the opening. If payment information wasn't required in advance, there could be a lag time of hours or days while the person goes through department channels for approval. We often don't have the luxury of that much time.

Instant charge card processing & refunds:
Duke departments are required to use the DukePay credit processing system, and DukePay applies charges immediately. This ensures the highest possible security by eliminating the need to store sensitive charge card information locally for use at a later date. If you use a charge card to get on a waitlist, and no seats open up, we refund the charge after the class is held.

Preferred alternative:
Instead, we strongly encourage use of cost center numbers for getting placed on waitlists - and for paying for regular registrations. If your department has a procurement card, then your department also has a cost center number. Please check with your supervisor or department business office, and use a cost center whenever possible. There are four benefits to using cost object numbers:

  1. Using a cost center for internal transactions complies with Financial Services guidelines.
  2. Workshop fees are only processed if you actually get into the workshop.
  3. Workshop fees are only processed after the workshop happens.
  4. Using a cost center keeps all Duke monies within Duke.

Doesn't our benefits package pay for workshops after a certain period of service?

Duke's Employee Tuition Assistance Program reimburses tuition for classes taken at Duke or other approved higher education institutions in North Carolina. Full-time employees with at least two years of continuous service are eligible. The short-term, skill-based workshops and programs offered by HR/ Learning and Organization Development do not qualify for the Employee Tuition Assistance Program.

You charged me for a workshop but shouldn't have. How do I get a refund?

If it appears we have made a billing error, please contact us immediately at
613-7600 or 613-7613. We will promptly investigate and work to resolve the matter. Where owed, refunds will be handled as follows:

  • Original payment by cash or check:
    We do not keep cash or checks on hand. We will complete paperwork to have funds reimbursed through Employee Travel & Reimbursement (ET&R).
    PERSONAL FUNDS (employees):
    the refund is added to your next paycheck. It is not treated as income in any way - neither taxed, nor added to your W-2 statement, etc. When ET&R has finalized the reimbursement, they will send you email notification.
    PERSONAL FUNDS (non-employees):
    We submit paperwork to ET&R to have a refund check generated.  These generally take about three weeks to process.
    COMPANY FUNDS: We submit paperwork to ET&R to have a refund check generated.  These generally take about three weeks to process.
  • Original payment by charge card:
    We will process a credit back to the original charge account.
  • Original payment by cost center:
    We will credit the amount back in the SAP R/3 system.

Although you can dispute any procurement/ credit card charges directly with your credit card vendor, we request that as a courtesy you notify us first and give us an opportunity to resolve the matter. Of course, if you feel we have not handled your inquiry promptly or resolved the matter to your satisfaction, you always have the option of disputing the charge through your credit card vendor.

I need a receipt for a workshop.

Your confirmation notice is your receipt, and it can be used as documentation for both personal and departmental financial records.

If you registered online, three confirmations were generated:
1) web page confirmation for the person completing the registration (participant, supervisor, or admin),
2) email confirmation sent to participant, and
3) email confirmation sent to supervisor.
If you registered using a hard-copy registration form, we will have emailed you a confirmation notice. If you did not provide an email address, we will have faxed or snail-mailed a confirmation notice to you.

How do you determine the fee amounts charged for your workshops?

Variables affecting fees can include the cost of books, manuals, and other training materials; workshop length; and the fees charged by our pool of external contractors (when facilitation is outsourced). Our workshop pricing generally follows this structure:

WORKSHOPS & PROGRAMS

I just have a few questions about how to use certain features of Word/ Excel/ Access (etc.), and I don't really need an entire workshop. Can you help me?

Duke departments and schools have a designated computer support person, team, and/or help desk. These folks should be your first resource for software questions.

If you have taken workshops with us, you are welcome to call and speak with our computer technology instructor about material covered in your class (613-7616). We are glad to spend a few minutes clarifying material or coaching you through an operation.

There are over 26,000 Duke employees in the Health System and the University here in the Triangle area. Because we have just one computer technology instructor on staff who is frequently leading workshops, we are compelled to limit the amount of time and support our instructor can provide over the telephone.

  • If you have not taken a workshop with us and have questions, we recommend you register for a workshop or talk with us about an individual coaching session.
  • If you have attended a workshop, but you have questions about more advanced features not covered in your class or about different software, again we recommend you register for a workshop or talk with us about an individual coaching session.
  • However, if you are in a bind, up against a deadline, etc., and cannot get your questions answered from other sources, you may call us, and we will do our best to help.

There is a software program our department uses that I need to learn, but I do not see it on your workshop schedule. Will you be adding this workshop to your calendar?

We strive to offer workshops in the most recent versions of the most popular and robust software programs. If there is software you would like to learn that is not on our schedule, please call us at 613-7616. Our computer technology instructor will evaluate the program and make a determination about adding a workshop to our calendar.

I took a computer workshop a few months ago, but I haven't had the opportunity to use the software in my job yet. Now the project work is starting up, and I need to use the software, but I don't remember much of the instruction. Can you help?

You may re-take a computer workshop within six months of your original class date at no additional charge. Please register by completing a printable registration form, since the online registration system would require payment. On the form, leave payment and fee information blank, and just write the word "refresher" in that general area and circle it, and fax the form to us at 613-7620. When you retake the class, please bring the software manual you were already provided. This "no-charge refresher" policy only applies to workshops you have attended at least in part, not to workshops missed.

L&OD provides a three-day management training program that prepares and equips University and DUHS managers to meet changing strategic, operational and work culture objectives through effective managerial practices. After I complete the Notary Public workshop, will I be a Notary Public?

No. This workshop meets the 6.5 hour classroom instruction requirement for becoming a Notary Public, however it is only one part of the process. The workshop instructor will provide you with all the steps for completing the whole process.  (Notary Public description & registration).

Can you tell me which SAP R/3 workshops are coming up and what order I should take them in? The R/3 workshops aren't listed at your website - can you enroll me? Can you reschedule the R/3 workshop I am registered for?

I heard about a work/study program for employees where participants took workshops for part of the week and worked the rest. Is this still available?

In the late 1990's, there were three separate training programs at Duke designed to help employees both advance their careers and fill critical positions. These were called the Hospital Career Development program (HCD), the Critical Needs Job Training program (CNJT), and the Mobility Program. Work/study was a feature of these programs.

In 2001, Duke Human Resources formed the Professional Development Institute (PDI) to update and redesign these career-focussed programs. Many workshops held at your location are not listed at your web site, and you do not handle registrations for them or have details about the workshops. And for some other workshops, you advertise them and handle registrations, but you do not facilitate these classes. Why?

On a limited basis, we provide some services to other Duke entities that offer training for employees. Services may include online workshop registration and/or using classroom or computer lab space. When we are not involved in the design and facilitation of a workshop, the information we have is usually limited to whatever specific services we are providing to the external department.

How long is the lunchbreak during your full-day workshops? Are lunches provided - where can I get food? May I eat lunch during noontime seminars? Do half-day workshops have any breaks?

  • Half-day workshops taught by L&OD usually have a 15 minute break about halfway through the session.
  • Full-day workshops taught by L&OD usually have a 15 minute break both in the morning and in the afternoon. An hour-long lunch break usually starts around noon, depending on where the instructor is with the material.
  • Lunch is not provided. Snack and beverage vending machines are located off the main hallways. A refrigerator and microwave are also available for those who prefer to bring their own food. Complimentary, self-serve coffee and tea are provided. 9th Street restaurants and Whole Foods are a two-minute drive/ ten-minute walk away. The fast food chain restaurants on Hillsborough Road and eateries at Brightleaf Square near downtown are about a ten-minute drive away.

I have another commitment at lunchtime [or] I have to leave early because of prior commitment. How will this affect my participation in the workshop?

Please check with your instructor before the workshop begins so that he or she knows that you have to leave at a certain time or that you may be delayed returning. Generally, for L&OD-led workshops, being absent up to 30 minutes from a full-day workshop, or 15 minutes from a half-day workshop, will not reduce the benefit of the class significantly.

Absences lasting longer than 30/15 minutes can affect the benefit you receive from the workshop. It will be up to the instructor's discretion whether or not to issue a certificate of completion to you. You may return within six months to retake part or all of the workshop at no extra cost. Yes. After we schedule our own workshops and make reservations for Duke systems workshops provided by other departments, we can then rent our computer labs and conference rooms to other Duke entities. Please see additional information at our Room Reservations page.

Are your facility and equipment accessible for persons with disabilities?

Our parking lot has reserved spaces and the sidewalk is lowered at several places.  There are automatic door openers at both buildings (402 and 406 Oregon Street). Restrooms and drinking fountains are compliant. Computer lab workstations are at a fixed height. However, we have an adjustable-height workstation, split keyboard, and track-ball mouse available on request. (Please let us know in advance.)

When is your web site updated?

A major update is completed twice a year:

  • the first week of December for January-June workshops
  • the first week of June for July-December workshops

Our web site is updated regularly during the semesters as well. We recommend that you visit regularly to learn about additions and changes to the workshop schedule, and to stay informed about new programs.

Do you have a catalog you can send to me?

We stopped publishing our paper catalog after 2008, however we do post our workshop schedule at our web site, right hand side, gray box under "Additional Information." There were two primary reasons for discontinuing the catalog:

  1. Duke employees are turning to the web with increasing frequency to find information and services.
  2. Departments across Duke have been asked to reduce expenses. Discontinuing the catalog netted a considerable cost savings for our department and for Duke. By "going green," we have saved money and reduced our consumption of resources.

What happens if Duke declares a Severe Weather day, and I am registered for a workshop that day? What if my department has reserved a room at your location, and Duke declares a Severe Weather day?

If Duke declares a Severe Weather day, our workshops are automatically cancelled and our offices, computer labs and conference rooms at 402 and 406 Oregon Street will be closed. Our functions are considered non-essential in weather emergencies. To learn if Duke has declared a Severe Weather day, please call the Duke Information Line at 684-4636 . Please note that media announcements about "classes at Duke" apply only to graduate and undergraduate classes, not to workshops for employees held at L&OD. The relevant policy for our location is the Severe Weather Policy.

Even if Duke does not declare a weather emergency, variable weather conditions in the area may prevent some of our staff from coming in. Some workshops or possibly our entire facility may end up being closed. If we close, our recorded telephone message will be updated - please call 613–7613 after 7:30 AM to hear the recording. If there is a standard greeting with no mention of weather, then our facility will be open. Even so, specific workshops may not run - feel free to call and check about your workshop. Our staff may be delayed or may be trying to determine workshop status, but we will share as much as we know. Workshop participants unable to attend due to bad weather (even if Duke officially remains open) will not be penalized.

If our facility is closed due to severe weather, we will promptly reschedule any cancelled workshops and room reservations. We will call registered workshop participants to check availability for future sessions and to reschedule. No workshop fees or room reservation fees will be charged for sessions scheduled on Severe Weather Days.
